Before you touch anything
Decide four things. They take ten minutes and they save a rebuild later.
- Where the screen goes, and whether it is landscape or portrait
- What it is for, in one sentence: sell something, inform someone, or reduce a question at the desk
- Who will change the content, and who signs it off
- Whether there is power and network within reach of the bracket
The fourth one decides whether this is a software afternoon or a small building job.
Step one: mount the panel and give it power
Fix the bracket into something solid, at a height where the middle of the screen is roughly at eye level for a standing adult. Leave the socket reachable. If the screen is portrait, confirm the panel is rated for portrait mounting, because not every consumer TV is.
Run the cable before the panel goes on the wall. It is a five minute job then and an hour later.
Step two: choose the device that will drive it
- The browser in the TV, if it is recent and can open a page on start
- An Android stick or box, which is the cheapest reliable route
- A Chrome device, which manages itself and recovers cleanly
- A Windows mini PC, if IT already manages Windows endpoints
Whichever you pick, it needs to do two things unattended: open the player page at power on, and keep running without a dialog appearing over it.
Step three: pair the screen
Open the pairing URL on the device. It shows six digits. Type them into the panel, name the screen with something you will recognise in a list of a hundred, set its location and its group, and choose landscape or portrait.
A good naming habit pays off immediately: site, area, position. For example, Leeds, front window, left. In six months you will thank yourself.
Step four: set the device so it behaves overnight
This is the part that separates a screen that runs for a year from one that needs a visit every fortnight.
- Turn off sleep, screen saver, energy saving and automatic display off
- Turn off system notifications and update prompts
- Set the device to power on and open the player page automatically after a power cut
- Schedule operating system updates outside trading hours, with an automatic restart
- Fix the resolution and orientation, so a driver or firmware update does not rotate the wall
- Turn off overscan on the TV, so the edges of your layout are not cut off
- Set a picture mode that shows your brand colour honestly, not a dynamic mode
Step five: build the first playlist
Start with three or four items and a duration for each. Eight to twelve seconds suits an image with a short message. Video runs its own length. Resist the urge to put nine items on a loop on day one: nobody stands there long enough to see them.
Use a template with zones if the screen needs more than one thing at a time: a main area, a sidebar, a ticker and a clock.
Step six: put it on a schedule
A weekly grid covers the ordinary week. Add dayparts if the audience changes during the day, which it does in food, fitness and retail. Add a dated campaign for anything with a start and an end, and let it step aside on its own afterwards.
Set a default playlist too. A screen with no scheduled item should fall back to something, not go black.
Step seven: check it from somewhere else
Walk away, open the panel on your phone, and look at what the screen reports. You want the item it is drawing, the time, and a screenshot. If the platform cannot tell you that from another building, the whole network will be a guess later. See proof of play.
Step eight: decide who can change it
Give the person at the site an editor role scoped to their own screens, and keep approval with whoever is responsible for what appears in public. Doing this on day one is a two minute job. Doing it after a wrong price reaches every location is a different kind of day.
The rollout, once the first screen works
- Photograph the working setup, including cables and settings, and use it as the pattern
- Buy the same device for every screen, so one fix applies everywhere
- Name and tag every screen as you pair it, never later
- Pair in batches by site, and check each site's report the next morning
- Keep one spare device on a shelf, because the replacement costs less than a visit
How long it actually takes
One screen, with power and network already in place, takes about 30 minutes end to end, and most of that is the device settings. A site with four screens takes an afternoon. A 40 screen network is a week of paired mornings, not a project, provided the first screen was set up properly and the rest copy it.
