OptiSigns alternative for multi-site teams: OptiSigns competitors compared on price per screen and proof of play

People rarely leave OptiSigns because it is bad software. It is cheap, it runs on devices you already buy, and it has the biggest app library in this price band. They leave when the network grows past what a playlist tool was built for: twenty screens at nine addresses, content that has to change the same hour everywhere, and somebody outside the company asking for proof of what played. The honest shortlist: Yodeck if you want the lowest price with a player in the box, ScreenCloud if IT governance is part of the purchase and 20 to 30 USD per screen is fine, and Displayer if what is on the wall has to be provable with a picture.

Put a screen up before you shortlist anything

Type a venue name and three messages and the builder renders a working screen in your browser, with the weekly grid and the dayparts behind it. No account, no device, no app to install. If you are replacing a system you already run, this is the quickest way to check whether the scheduling model matches how your locations actually work.

Layout

Weekly schedule
  • Venue: restaurant, retail store, clinic, gym, office or school
  • Orientation: landscape 16:9 or portrait 9:16
  • Layout: full bleed, main plus sidebar, or a menu board in three columns
  • Content: your business name and three short lines, prefilled for the venue you picked

The schedule strip underneath shows the same playlist placed on a weekly grid, which is exactly what the schedule view does inside the product.

Why people look for an OptiSigns alternative

OptiSigns is well liked. It holds a 4.8 out of 5 rating on Capterra across more than 4,000 reviews, and most of them praise the price and the ease of the first setup. The reasons people start comparing come later, and they show up in the same places again and again.

The first is the tier ladder. The front of the pricing page says 10 USD per screen. Proof of play, the approval workflow and folder security start on Pro at 12.50 USD. Microsoft 365, Google Workspace, Power BI and Salesforce dashboards start on Pro Plus at 15 USD. Once a multi-site account wants reporting and a dashboard, it is paying half again what it planned, before the add-ons: a video wall is 25 USD per wall, background music 15 USD per screen and wireless presentation 20 USD per screen, each billed on top.

The second is day-to-day content work at scale. Several Capterra reviewers describe video uploads taking anywhere from minutes to most of a day to show up on screens, and playlist and group setup that feels less intuitive the bigger the network gets. At three screens that is a quirk. At forty screens with a promotion that has to start at 11 a.m. everywhere, it is a phone call from a regional manager.

The third is the one that brings people here. OptiSigns' proof of play is a record of what the player reported. When a franchisor, an advertiser or an inspector asks what was actually on the wall on the fourteenth, a line in a report is a claim, not evidence.

Reading that table honestly

OptiSigns and Yodeck are the two cheapest names on it, and nothing below changes that. If your screens show menus and announcements that nobody outside the building will ever question, stay near the bottom of the price column. The rest of this page is for teams where the screens have become an operational system, with regions, approvals and somebody who audits them.

What each OptiSigns alternative costs at 25 screens

Twenty five screens, each vendor's tier that includes proof of play, annual rate, one year of software.

OptiSigns Pro and Pro Plus

Pro at 11.25 USD is 281.25 USD a month, 3,375 USD for the year. Most multi-site accounts end up on Pro Plus for the dashboards and calendar integrations, at 13.50 USD: 337.50 USD a month, 4,050 USD a year. Add background music across all 25 screens and that is another 337.50 USD a month. The Enterprise tier, at 40.50 USD yearly with a 25-screen floor, is 12,150 USD a year at the minimum. The full breakdown is in our OptiSigns pricing guide.

Yodeck Premium

25 screens at 12 USD is 300 USD a month, 3,600 USD for the year, with a 4 GB player shipped with each annual license. This is the cheapest route to a playback log and the only one with hardware in the price. Tier detail is in the Yodeck pricing guide.

ScreenCloud Pro

25 screens at 30 USD is 750 USD a month, 9,000 USD for the year, with a device included on the annual term. ScreenCloud's invoice billing needs at least five screens and an annual term. Every rate and minimum is in our ScreenCloud pricing breakdown.

Displayer Professional

25 screens at the 23 USD yearly rate is 575 USD a month, 6,900 USD for the year, with no add-ons to stack and unlimited team members. That is more than OptiSigns Pro Plus, less than ScreenCloud Pro, and the difference over OptiSigns buys screenshots of the rendered screen next to every play record. All plans are on the pricing page.

You already bring your own device, so what changes

OptiSigns is software only, and that is one of its strengths. You buy the Android stick, the Fire TV or the mini PC, install the app and pair it. Switching away does not have to mean buying new hardware, and you should rule out any alternative that insists on it.

The practical question is what runs on those devices. A native app per operating system means an install, an update cycle and an app store account per platform. Displayer's digital signage player is a browser page, so the same Chrome device, smart TV browser or Windows mini PC already on the wall can run it after a six-character pairing code is typed once. If a panel dies, you replace the panel and pair the new one in under a minute. There is no vendor hardware in the contract and nothing proprietary to retire later.

Proof of play that holds up outside the building

OptiSigns puts proof of play on Pro. Yodeck puts Playback Reports on Premium. ScreenCloud puts proof of play logs on Pro. All three give you a record of what played, on which screen, and when, and for internal reporting that record is enough.

It is weaker when the question comes from outside, because it records what the player believed it showed. It does not show what the panel rendered. A TV left on the wrong HDMI input, a web item failing behind a cached frame, a resolution mismatch cutting off the bottom third of a price notice: the log says played in every case.

Displayer's proof of play keeps the same record and adds periodic, timestamped screenshots of the rendered screen stored alongside it. When a franchisee disputes a campaign or a regulator asks about a posted notice, you send the line and the picture together. If nobody will ever ask you that question, this is not a reason to switch, and OptiSigns at 11.25 USD is the better buy.

Where OptiSigns gets hard, and how multi-site control should work

Playlists and screen groups work well in one building. Across a region they turn into a copy-and-edit job, which is where most of the reviewer friction comes from.

Displayer schedules against tags rather than individual screens. Tag screens by region, brand or venue, schedule a lunch promotion against the tag, and it lands on every matching store while each site keeps its own door screen. Roles and approvals decide who can publish to the whole network and who can only draft, and an audit log on the platform records who changed what and when. Running many addresses from one panel is covered in more depth on the cloud digital signage page.

Before committing to any OptiSigns competitor, sketch your org chart next to its permission model. A flat screen list with tags behaves very differently from a real hierarchy the moment a regional manager must be kept out of another region's screens.

Which OptiSigns alternative to pick

Choose Yodeck when

Price per screen decides it and you would like the player in the box. Yodeck Premium at 12 USD is below OptiSigns Pro Plus and includes a playback log. Our Yodeck vs OptiSigns comparison covers the two side by side.

Choose ScreenCloud when

An IT security review is part of the purchase and there is budget for it. At 20 to 30 USD per screen you are paying for governance, single sign-on on Enterprise and a support relationship more than for features.

Choose Displayer when

Something on the screens has to be provable to someone outside your company: franchise compliance, advertiser or landlord reporting, pharmacy and clinic notices, safety messaging. You pay more than OptiSigns per screen for evidence with a picture attached, tag-based multi-site scheduling and a browser player with no app to maintain.

Stay on OptiSigns when

You rely on its app library, especially Power BI, Salesforce or kiosk features on Engage, and the network is stable. Moving a working deployment costs real hours, so switch when something is actually failing you.

What is the best alternative to OptiSigns

It depends on what is not working. For a lower price with a bundled player, Yodeck at 8 to 16 USD per screen. For enterprise governance and single sign-on, ScreenCloud at 20 to 30 USD. For multi-site scheduling and proof of play backed by screenshots of the rendered screen, Displayer at 15 to 23 USD per screen on the yearly rate.

Who are OptiSigns' main competitors

Yodeck and ScreenCloud are the names on most OptiSigns shortlists, followed by Rise Vision, NoviSign, Kitcast, Juuno, Screenly and Xibo, alongside Displayer. Yodeck is the closest match on price. ScreenCloud sits above both on price and targets larger organizations with IT approval processes.

Is OptiSigns free

Only for up to three screens. The free plan includes 1 GB of storage, three users, 25 basic apps and playlists capped at 30 items, and it shows OptiSigns branding on your displays. Any screen a customer sees usually needs a paid plan, which starts at 10 USD per screen monthly or 9 USD yearly.

Does OptiSigns have proof of play

Yes, from the Pro plan at 12.50 USD per screen monthly or 11.25 USD yearly. It is a report of what each player recorded as played. It does not include images of the screen, so it cannot show a wrong input, a frozen frame or a cropped layout the player did not detect.

Is there a cheaper alternative to OptiSigns

Yodeck Basic at 8 USD per screen is cheaper than OptiSigns Standard at 10 USD monthly, and a few smaller vendors advertise 5 to 7 USD. At the reporting tier the gap narrows: Yodeck Premium is 12 USD against OptiSigns Pro at 12.50 USD monthly. Below that price, check support depth and uptime history.

Can I keep my OptiSigns devices if I switch

Usually yes, since OptiSigns runs on hardware you bought. Fire TV sticks, Android boxes, Chrome devices and Windows mini PCs can run most competitors. A browser-based player such as Displayer's runs on any device with a current browser, so the same hardware stays on the wall and only the pairing changes.

How do I switch from OptiSigns to another platform

Rebuild one location first, run both systems side by side for a week, then move the rest site by site. Media files can be re-uploaded in bulk, but playlists, schedules and screen groups do not transfer between vendors, so budget about an afternoon per site. Cancel OptiSigns screens as each site moves.

Is Displayer cheaper than OptiSigns

No. Displayer Essential is 19 USD per active screen monthly or 15 USD yearly, against OptiSigns Standard at 10 or 9 USD. At the reporting tier, Displayer Professional is 23 USD yearly against OptiSigns Pro at 11.25 USD, and the difference buys screenshots of the rendered screen next to the play record.
